Camp Rice Moody Booking Guidelines

1.     Bookings for Reading Troop Leaders will begin on August 10, 2007.

2.     Camp Rice Moody should be booked on a “first-come, first served” basis. Email reservations to Ellen Emmons (Ellen_Emmons@msn.com).

3.     All troops should fill in a site reservation form. The most current version is at http://www.ptgirlscouts.org/files/campsite_reserv.doc. Reservations are not considered completed until the CRM booking manager receives this form.

4.     Reading troops may use Rice Moody for troop meetings without a deposit or fee.   Troop Camping and Day Use reservations take a priority on weekends.  If troops schedule troop or parent meetings on weekends they may have to make alternative arrangements or reschedule meetings, if another troop reserves the camp for either day use or an overnight. 

5.     Overnights and Day Use requests require a site fee and refundable damage deposit. The refundable damage deposit is $25.00 and day use for troops is $50.00, overnights are $100 per night.

6.     Reading’s CRM booking manager will send reservation information to Diane Huxley (dhuxley@ptgirlscouts.org, (617) 482-1078 x202) at council so the council calendar is kept up to date. Diane will always refer any requests for sites from Reading Leaders to the Reading CRM booking manager first.

7.     Leaders may call council to inquire about availability, but they must submit the forms and fee (for overnights) to Reading’s CRM booking Manager first. CRM Booking Manager should forward any forms and money for overnights ASAP as council does not hold spots or take reservations over the phone.

8.     Reservations should be taken for no more than 2 troops at a time unless the troops are combining to form one meeting and will require only a single meeting space. Triple bookings are only allowed with the agreement of all involved leaders and at the discretion of the Reading CRM Booking Manager. Bookings must not exceed the capacity of the building.

9.     Troops are responsible for their own clean up, removal of trash, sweep & mop floors, clean bathrooms, turn off lights, turn down heat, lock all doors and set the alarm. If the CRM site manager, Renee, finds that troops have not checked out properly, she will inform the Booking Manager who can speak to offenders.

10. CRM keys may be picked up from the CRM booking manager at a convenient time prior to the meeting. All keys must be returned within two (2) hours of the end of the meeting. Failure to return keys may result in the cancellation of future reservations.


How does this work with council’s system?

Council’s Site Reservation system works on "Opening Dates" for reservations. 

·        In April, they take reservations for August.-February bookings

·        On November 1, they start booking March – June requests

 

The council system creates a monthly calendar showing dates and times of troop requests as well as Staff requests and day or overnight requests from troops from other towns and outside groups.  Diane Huxley (dhuxley@ptgirlscouts.org) maintains the council calendars and holds some reservations that are waiting for the "Opening Dates" in Oct. & Nov. when they can enter them into the system. Diane will let the Reading CRM booking manager know of any bookings via email.

 

The council system only allows one troop within a time slot, so Diane has to list false times for some meetings and correct the calendars by hand before they are sent to the Site Manager.
