Booth Sale Reservations

This section manages the Reading Booth Sale reservations. Booth sales in Boston are handled by the Council through the Quickbase database instead of here, so your troop cookie manager can handle that for you.

Using e-mail for reservations:

1. Start composing a message to ralph@vinci.org
2. Set the subject line of your message as follows:
   [GSR] TroopNumber
   In the message body identify the Troop Number again, and for each reservation put: Date Time SlotID Location
3. Wait for my e-mail reply or check this page in a day or so to verify your reservation.
4. Please remember to e-mail me your sales results after the sale (include TroopNumber Date Time SlotID Location) so I can record this in the table.

The reservation policies are:

1. Each troop gets to sign up for two slots in person starting at the December 6 service unit meeting
   Special note: Due to the number of great slots we have, the signup lists were not ready, so all Dec. 6 SU attendees have been entered into a signup lottery. On Sat, Dec 9th at 12 Noon, the slots will be posted and e-mail requests from people in the lottery for their 2 first choices, and 2 alternate slots should be e-mailed to ralph@vinci.org before Sun, Dec 10th 9PM. The lottery pool will then be discarded.
2. After December 9 at 12 Noon, reservations can be made by e-mail (see above), still 2 slots per troop will be allocated.
3. After Jan 1st, any number of additional slots can be reserved by e-mail (see above).

The slots sometimes open back up as reservations change, so stay tuned.

Super bowl weekend (Feb. 2-4) is also a popular time, but do not use the words "Super Bowl", team names, or any official logos. The Girls Scouts have not licensed these. Instead use generic icons, and the words "Tailgate Sale", etc.

Dates: Superbowl Sunday, Jan 13th weekend, Jan 20th weekend, Feb 3rd weekend. One more date in march (all open).
Setup: We have been cleared by the town manager and the store to use sidewalk space on Haven St. AND also on the parking lot side, provided we do not block pedestrian traffic. A single troop slot signup is for both locations. Sales can not be under the store canopy in the back. Sales can be set up in front not blocking the door and in back but not under Atlantic's red canopy.

Setup: The management won't allow us inside, so you'll need to setup outside the entry doors, without impeding foot traffic.

Setup: we can set up on the Lincoln St side Century 21 owns the land facing Lincoln St there are parking spaces there that are owned by Century 21. Scouts can walk to the side of the building when trains come in Century 21 is open to any dates we want they will even stay open if the girl scouts need to get warm. As long as we set up on their property we are fine.

Setup: Approval for the booth sale, ultimately, was given by the building owners, Luma Realty as of 2006. They have requested that: "Given the weather conditions during those months, it is our understanding the fundraiser will not take place should the area not be free of snow and/or ice." Any time, but Saturdays recommended.

How We Set Up Sites

Representatives from our service undertake the following steps, completing one week before the release of the schedule:

• Meet or call the location management
• Get permission, explain the Girl Scout program and mission if needed
• Any locations that require a "Certificate of Liability" should be identified to the Cookie Chair, and this information needs to be gathered: Contact name and phone, fax, location, dates covered.
• Establish the available times for each location taking into account their hours of operation, for the dates Dec 16, 2006 through March 18, 2007
• Determine allowed position of booth, availability of tables, and any other constraints that site imposes
• Provide details to Cookie chair for schedule planning.
• When the schedule is available, double check the results with your information.
